2. What Data We Collect
Business owners (you):
- Name, email, phone number
- Business name, address, services, opening hours
- WhatsApp messages sent to/from our service
- Call recordings and transcripts (for AI training and quality)
- Payment information (processed by Stripe)
Your clients (callers/WhatsApp contacts):
- Phone number
- Name (if provided during conversation)
- Conversation transcripts
- Booking details
- Caller mood/sentiment (analysed by AI)
3. How We Use Data
- To provide the AI receptionist service (answering calls, WhatsApp, bookings)
- To improve our AI models and service quality
- To send you daily summaries and business insights
- To run marketing campaigns on your behalf (with your instruction)
- To process payments
4. Where Data Is Stored
All data is stored in the European Union (Google Cloud, London/Belgium regions). We do not transfer personal data outside the EEA without adequate safeguards.
5. Data Retention
- Active accounts: data retained while your account is active
- Cancelled accounts: data deleted within 30 days of account closure
- Call recordings: retained for 90 days, then automatically deleted
- Conversation transcripts: retained for 12 months for service improvement
6. Your Rights (GDPR)
You and your clients have the right to:
- Access — request a copy of your personal data
- Rectification — correct inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")
- Portability — receive your data in a machine-readable format
- Object — opt out of marketing or profiling
- Restriction — limit how we process your data

7. Your Clients' Rights
Your clients can request data deletion at any time. If a client contacts us, we will delete their data from our systems and notify you. You are responsible for informing your clients that an AI receptionist handles their calls.
8. Cookies & Analytics
Our website uses Google Analytics 4 to measure site usage. We also use Firebase for functional analytics. No advertising cookies are used. You can opt out by using browser privacy settings.
9. Third-Party Services
- Google Cloud / Firebase — data storage and processing (EU)
- Anthropic (Claude) — AI language model (data processed, not stored)
- Meta / WhatsApp — messaging platform
- Stripe — payment processing
- ElevenLabs — voice synthesis (no personal data shared)
- Deepgram — speech recognition (audio processed in real-time, not stored)
10. Security
We use encryption in transit (TLS 1.3), encryption at rest, and access controls. All API keys are stored in Google Secret Manager. We conduct regular security reviews.
11. Changes
We may update this policy. Material changes will be communicated via email or WhatsApp to active users.
